Step 1 · Close the IRS EIN account

Cancel or deactivate an EIN (2026)

Can you cancel an EIN? How to close the IRS business account with a signed letter, why dissolving the LLC does not auto-cancel the EIN, never-used EINs, and when you need a new number vs keep the old one. Confirm campuses on IRS.gov — process map; Formation Lane does not mail IRS letters.

By Formation Lane Editorial · Page dated 6 October 2026

An EIN is not deleted like a username. Once assigned, it stays the entity’s permanent federal taxpayer ID. What the IRS can do — after you notify them correctly and handle any required returns and taxes — is deactivate the EIN and close the associated IRS business account. Searchers say “cancel EIN”; the live IRS framing is deactivate / close the account. Formation Lane invents no fees, tracking IDs, or permanent mailing addresses.

Neighbor desks: Get an EIN · Change EIN responsible party · Dissolve or cancel an LLC · Reinstate an administratively dissolved LLC · Bring an LLC into good standing · Close an LLC business bank account · After you form an LLC.

Short version for 2026: confirm you no longer need the number → file finals / pay taxes when the IRS says they apply → send the signed deactivation letter per the live IRS page → close bank and software profiles → keep records. Closing the SOS entity does not auto-cancel the EIN. Changing the responsible party on a continuing entity is a different federal desk. This page stays on EIN account closure — not a full first-issue EIN how-to.

Before you mail an EIN “cancel” letter

Separate IRS account closure from SOS dissolve, responsible-party updates, and bank wind-down.

  • EIN confirmation letter (often CP 575) and the legal name / EIN / address that match IRS records
  • Clear reason: never used, business closed, entity dissolved, or other facts you can state honestly
  • CPA check on whether final federal (and state) returns or employment filings still apply
  • Live IRS “If you no longer need your EIN” and “Closing a business” pages open — letter contents and where-to-mail confirmed there (not invented from this page)
  • SOS dissolve / cancel path queued or already done when the state entity is ending — Dissolve or cancel an LLC
  • Bank / payroll / tax-software close or update queued as separate desks
  • Plan to keep a copy of the letter, finals, and SOS paperwork with the books

Can you cancel an EIN?

No. Once the IRS assigns an EIN, it becomes that entity’s permanent federal taxpayer identification number. The IRS says it cannot cancel the number like a username. What it can do is deactivate the EIN / close the associated IRS business account after you notify them correctly and handle any required returns and taxes. Confirm on the live IRS page.

Five desk steps in order:

  1. Confirm you no longer need the EIN. Typical facts: the state entity is dissolving or already dissolved, or the EIN was obtained and never used for a going business. SOS dissolve and IRS EIN deactivation are separate desks — do not assume one finishes the other. If you still need the same entity and only control changed, use Change EIN responsible party instead.
  2. File final returns and pay taxes when required. If you made tax payments, owe business taxes, or received a notice to file, the IRS says outstanding returns and taxes owed must be handled before it can deactivate the EIN. What to file depends on federal classification — use a CPA and the IRS Closing a business checklist.
  3. Send the IRS deactivation letter on the live path. Follow the current IRS “If you no longer need your EIN” page: signed letter with EIN, legal name, address, EIN assignment notice if available, and reason for deactivating. Confirm where to mail (and any EO-specific path) on that live page — do not invent a campus address from this publisher page.
  4. Close bank, payroll, and software profiles separately. Update or close LLC checking, payroll, and tax software. Those systems do not auto-update from an IRS letter or an SOS dissolve stamp.
  5. Keep records. Retain the CP 575 / EIN confirmation, the deactivation letter copy, final returns, and SOS dissolve paperwork with the company books for the retention period your CPA recommends.

How do you close the IRS business account / notify the IRS?

On the live IRS “If you no longer need your EIN” page, send a signed letter with the entity’s EIN, legal name, address, the EIN assignment notice if available, and the reason for deactivating. There is no universal “Cancel EIN Form X” for ordinary businesses. Confirm letter contents and where-to-mail on IRS.gov — Formation Lane invents no fixed campus.

Four desks people collapse when they say “cancel my EIN”
DeskWhat it usually isWhat it is not
Cancel / deactivate EIN (this page)Notify IRS to deactivate the EIN / close the IRS business account; often after finalsNot deleting the number from IRS history; not an SOS form
Get an EINFirst-time IRS employer ID after the state entity existsNot closing an unused or wound-up account — Get an EIN
Change EIN responsible partyUpdate who controls the continuing EIN account (often Form 8822-B territory)Not closing the account; entity usually keeps the same EIN
Dissolve / cancel LLCSOS (or equivalent) voluntary close of the state entityNot automatic EIN deactivation — Dissolve or cancel an LLC
Reinstate / good standingCure admin dissolution or delinquent state statusNot an IRS EIN cancel desk

Completing one desk does not finish the others. A filed articles of dissolution does not mail your IRS letter. A responsible-party Form 8822-B does not close the account. Deactivating the EIN does not close the bank.

Do not invent an IRS “Cancel EIN” form number, a fixed fee, a guaranteed processing time, a fax number for ordinary businesses, or a campus address as permanent fact from this page. Use the live IRS If you no longer need your EIN and Closing a business pages for letter contents and where to send. As of the 6 October 2026 re-fetch, the dedicated deactivate page lists Kansas City / Ogden campuses; the Closing a business checklist still lists Cincinnati — re-check the live pages before you mail. Formation Lane does not mail the letter and does not file returns.

Does dissolving the LLC cancel the EIN?

No. Dissolving or canceling the LLC is a state entity-status desk — Dissolve or cancel an LLC. Closing the SOS record does not automatically deactivate the IRS EIN account. Run the federal notification (and final-return) path separately when the number is no longer needed. Reinstatement is a different SOS desk: Reinstate.

Voluntary dissolve / cancel is the state path that ends (or starts ending) the public LLC: Dissolve or cancel an LLC. Administrative dissolution and reinstatement are still state-status desks: Reinstate · Bring into good standing. None of those SOS stamps automatically deactivate the federal EIN. Run the IRS letter (and finals) when the number should stop generating federal filing expectations — and do not assume “we dissolved” finished the tax desk.

If control changed but the entity continues, that is the responsible-party desk — not this page: Change EIN responsible party.

What if you never used the EIN?

Still follow the live IRS deactivate letter path. Never-used EINs — articles filed, number obtained, no bank, no payroll, no returns — are a common pattern people want closed so notices stop. Ask a CPA whether any return was triggered by payments or notices you forgot. File outstanding returns and pay taxes owed before deactivation when those IRS facts apply.

The IRS deactivate page does not carve out a separate “never used” form; the same signed-letter path applies. The Closing a business checklist still ties account closure to filing necessary returns and paying taxes owed when those facts exist. When you truly never paid, never owed, and never received a notice to file, confirm that pattern with a CPA against your own correspondence before you mail.

After (or alongside) the letter, finish non-IRS wind-down: Close an LLC business bank account, and any employer / contractor desks that applied. Keep the CP 575 / EIN confirmation with the books even for unused numbers.

When do you need a new EIN vs keep the old one?

Keep the old EIN when only closing or deactivating that entity’s IRS business account. A brand-new entity generally needs its own first-issue path when IRS rules say so — Get an EIN. Ownership or structure changes creating a different entity can require a new number; name or address alone usually do not. Confirm IRS “When to get a new EIN.”

IRS When to get a new EIN generally ties a new number to ownership or structure changes that create a different entity path (for example terminating an LLC and forming a new corporation or partnership). Name or address changes alone do not. Changing only a tax election (Form 8832 / S election) generally does not either. Do not invent a “new EIN after every ownership change” rule from this page — read the live entity-type table for your facts.

Do not reuse a deactivated EIN for a brand-new entity — new entities generally need their own first-issue path when IRS rules say so: Get an EIN. Continue when it still applies: close checking, finish state tax / license cancels, and keep the formation and wind-down packet together. First-30-days framing (in reverse, for wind-down hygiene): After you form an LLC.

Next: the money path. After the EIN cancel / deactivate (IRS business account closure) is accepted:

  1. Get an EIN — free on IRS.gov after the state entity exists
  2. Open business checking — park operating cash in the LLC’s name
  3. First brokerage — only if the work needs one

Do I have to file final tax returns before the IRS will deactivate the EIN?
Often yes, when returns or taxes are in play. The IRS says that if you made tax payments, owe business taxes, or received a notice to file a business tax return, you must file all outstanding returns and pay taxes owed before it can deactivate the EIN. See IRS — Closing a business. What “final return” means depends on how the entity was classified for federal tax — CPA desk.
Is canceling an EIN the same as changing the EIN responsible party?
No. Changing who the IRS lists as the responsible party (often Form 8822-B territory when the entity continues) is a different federal desk — Change EIN responsible party. This page is about closing / deactivating the IRS business account when the number is no longer needed. First-time issuance is different still: Get an EIN.
Will my bank, payroll, and tax software update automatically?
No. Banks, payroll, and tax software keep their own account profiles. Closing or deactivating the IRS EIN account does not magically close LLC checking or rewrite software. Closing checking is its own desk — Close an LLC business bank account. Finish employer / contractor wind-down paths when they applied: Hire first employee after LLC · Hire an independent contractor after LLC.
Does Formation Lane cancel or deactivate EINs for you?
No. Formation Lane is a publisher. We map desks (file finals when required → notify IRS per the live deactivate page → close bank / software profiles → keep records). We do not prepare, mail, or fax IRS letters, invent campus addresses or fees, or call your bank or CPA.
Is this page tax or legal advice?
No. It is a process map: EINs are not deleted; the IRS can deactivate / close the business account after you notify them; SOS dissolve ≠ automatic EIN cancel; final returns and taxes are often prerequisites; banks and software are separate. Filing status, final-return forms, and disputed notices belong to a CPA (and counsel when needed). Confirm every mailing address and requirement on current IRS.gov pages.
